Information Note for Participants
We look forward to welcoming you to Dar es Salaam, Tanzania and to the 10th OSSREA Congress Meeting.

1. Venue, Registration and Identification Badges
The congress will take place at Kunduchi Beach Hotel & Resort Conference Hall, Dar es Salaam. Participants are required to register at the beginning of the conference and collect their conference package and obtain identification badges prior to the opening of the session. Kindly bring along your invitation letter and personal identification for registration purposes.
The registration will start at 8am on the 2nd of March 2011. For identification reasons, all participants should wear their badges at all times during the meeting.
2. Documents and Languages
Participants will receive the necessary informative documents ahead of the seminar by email.
Documents which participants wish to circulate should be sent to Dr. Abiye Daniel of OSSREA by email (

) before the 20th of February 2011 to enable sufficient time for printing. For documents already printed or for Public Information materials that you wish to display at the Conference Hall during the meeting, please hand them over to the organizers on the morning of the 2nd February 2010. The media of communication to be used during the conference is English.
3. Travel, Incidentals and Accommodation
Participants are expected to arrive in Dar es Salaam starting from Sunday, 27 February 2011 and depart on the 5st of March 2011 depending on flight schedules and availability.
OSSREA sponsored participants will receive their e-tickets from the OSSREA Secretariat while self sponsored participants may contact Ms. Misrak for help in their bookings.
Should there be changes in the flight schedules/bookings for unforeseen externalities, please let us know immediately so as to ensure the necessary hotel booking. The cost of any additional period of stay in Dar es Salaam for personal reasons will be borne directly by you.
Accommodation provided is for bed and breakfast for five days or depending on the number of days that you are booked for by OSSREA. Lunch will be provided at the seminar venue on 28 Feb, and 1, 2, 3, and 4 March 2011. Participants will be expected to meet the costs of their dinner and other hotel bills such as telephone, laundry and drinks (alcohol) through their per diem.
As accommodation is provided for during the full period of stay in Dar es Salaam, lunch is catered for during those days of the conference. A number of international airlines operate to and from Dar es Salaam.
4. Immigration Requirements
Visas are not required for most participants traveling to Tanzania as most countries belong to the East African Community. For those delegates who need visa’s you can either go to the Tanzanian Embassy in your country with the invitation letter or contact the OSSREA Secretariat to facilitate the issuance of a visa.
5. Reception after the Congress Conference
There will be a reception on the 3rd of March 2011 at the end of the congress conference “Supporting Universities for PhD Training in Eastern and Southern Africa”
Flight details including date and time of arrival in Dar es Salaam should be sent to Ms. Misrak Kinfemichael and Dr. Abiye Daniel of OSSREA (contact details on page 2 of this document) and as soon as possible. Any subsequent changes should be transmitted timely.
Transport will be made available to and from the airport and so it will be necessary to update the Secretariat if and when there are changes in your travel arrangements
7. Health and Health Care Requirements
Participants should be in possession of a valid health certificate for yellow fever. Vaccination against malaria is a precaution that can be taken prior to arrival in the country.
8. Communications & Electricity Supply
Telephone, postal, fax and email services are available in Dar-es-Salaam and other major towns of Tanzania. The electricity system is 220 volts; 50Hz AC.
9. Weather and other General Information
Weather in Tanzania is, as you'd expect, warm and tropical. The coastal belt gets very humid and hot, so be prepared. The rains kick in around March and the wet weather lasts all the way to June. The plateau region in central Tanzania is hot and dry for most of the year while the highlands in the north-west are pleasant and cool. The rains arrive in the highland area around November and December and then again in February lasting until May.
Since it is warm and humid for the better part of the year, dress for the tropics. For cooler and wetter weather, carry a light jacket and a sweater. You'll need these for evenings out.
The local currency for the country is Tanzanian Shillings with an approximate exchange rate of 1,500 Shillings to the US dollar. Credit cards are acceptable at all international hotels.

Participants sponsored by OSSREA are required to collect their incidentals on arrival at the Kunduchi Beach Hotel for the duration of their stay. Please note that OSSREA will reimburse visa and airport taxes provided that sponsored participants produce original receipts. No refund will be made for taxi, fuel or meal costs incurred in the country of residence of the participants. Participants are also required to arrange their own travel insurance. Extra support from your organisations is always welcome.
